December Roster Collection

We collect fall rosters in December to inform the services that MPS and community partners provide. This process allows us to identify gaps and better meet student needs. In addition, we are able to upload participation into our student data systems, which allows teachers and school staff to know what additional services their students are receiving. We intend for this to lead to better alignment and communication across in-school and out-of-school time.

By submitting your fall roster, you will receive the following benefits:

  • Aggregate student data report, including demographics and school services
  • Landscape analysis that summarizes the services provided by community partners, broken down by subgroups
  • Data quality check that identifies issues to address in order to increase match rates with district data in the spring
  • Technical assistance from MPS Research, Evaluation, Assessment, and Accountability (REAA) department

June Roster Collection

We will also ask for your rosters in June. By collecting year-end student rosters, MPS can better understand the services that were provided across the entire district. With this information, we can better measure and understand the impact of community partners. 

By submitting your spring roster, you will receive the following benefits:

  • Aggregate student outcome report, including demographics, school services, academic achievement and growth, school behavior, and district attendance
  • Landscape analysis that summarizes the services provided by community partners, broken down by subgroups
  • Participation in the annual district community partner services map 

Roster Submission

For the student roster template, please email partnership.evaluation@mpls.k12.mn.us.

Student rosters should be uploaded as an Excel document  to DropBox. Because rosters contain private, student-level information, they cannot be emailed.  

Please include the following information for each participant:

  • Organization name
  • Program name (if different from organization name)
  • Student’s first name
  • Student’s last name
  • Student’s MPS Student ID number
  • Date of birth
  • Gender
  • School
  • Grade
  • Program site student attended
  • Total program hours
  • Total number of program sessions
  • Participant’s start date
  • Participant’s end date

Exceptions:

  • Please do not submit a roster if the services your provide students are related to mental health or counseling, or any other service that is protected by HIPAA.
  • If you submit a roster to another MPS department, such as Community Education, Extended Learning, or Be@School, MPS REAA can access your roster through that department. However, if the roster you submit to that department is incomplete (for example, perhaps you offer some programs through Community Education but also work with MPS youth outside of Community Education), then we recommend you submit a complete roster directly to REAA.
