Guidelines for MPS Contracted Community Partners re: photography and/or video release

We know that pictures and images of students engaged in programming can be important for partners to promote the great work that they do. In addition, student privacy and safety is a top priority for the Minneapolis Public School District (MPS) and student data including photos and images of students is governed by law and MPS policy.

Contracted Community Partners must use the MPS standard release form if they wishes to use student images, pictures, video or voice recordings.  Partner must complete all highlighted sections on the MPS Contracted Community Partner photo/video release form and submit the form to cpo@mpls.k12.mn.us for approval consideration.  Please allow 5-7 business days to review and respond to the request.

Partners who plan to take photo/video throughout the year are required to obtain consent as part of their yearly participant program registration process.  All events, including one-time only events, require consent to be obtained PRIOR to any filming or photography of students.  MPS does not allow partners to obtain consent after filming or photography of students has occurred.

By submitting a photo/video release form for approval, you are agreeing to the following:

  • MPS does not permit images of MPS students taken during Contracted Community Partnership programming to be used for any commercial or revenue generating purposes.
  • Partner will not use images of any MPS students for commercial or revenue generating purposes.
  • Third parties, including Partner funders or other partners, may not use images without a signed release, even if Partner has a signed release. Third parties must have their own MPS-approved release to use images of MPS students.
  • Children who do not have a signed Photograph & Video Release Form must still be allowed to participate in all applicable programming.
  • Parents and/or guardians have the right to revoke consent at any time by contacting the organization/Partner.
  • Partner agrees to make all photos available for parents and/or guardian(s) to review upon request.  Parents reserve the right to request that any photograph of their child to not be used for publicity purposes.
  • Partner agrees to develop a process to collect and maintain signed consent forms and must make them available to MPS upon request.  Partner will maintain documentation of which children have signed photography and video releases.
